For more than two decades, our organization relied on EAM Expert to support our Mainsaver system. Joe brought extensive knowledge of the system, and when we made the decision to transition to eMaint, he led the effort to ensure the migration proceeded smoothly. After thirty years of continuous use, our databases had accumulated significant clutter – the kind that builds up gradually and becomes difficult to address until you attempt to move it into a new environment.
The Situation
We maintained four databases across our two hospitals, each with its own history, inconsistencies, and outdated information. Obsolete supplier records, personnel no longer with the organization, retired assets, and discontinued parts remained in the system, often with extensive historical data attached, which added complexity to the cleanup process.
In addition, our coding structure had grown inconsistent over time. Work types, work classes, commodity codes, and statuses varied across departments, as different teams had developed their own versions without coordination. Importing this data into eMaint without modification would have introduced significant problems rather than resolving them.
What Joe Did
Joe conducted a thorough review of our data with us, examining nearly every table to determine what should be retained and what should be removed. This included records such as:
- Outdated supplier records no longer in use
- Personnel records no longer relevant
- Assets that had been retired or replaced
- Parts no longer stocked
- Many work orders that had no historical value
- Historical records (such as part usage and timecards) tied to data that did not need to carry forward into the new system
He also helped us redesign and standardize our coding structure, replacing years of inconsistent codes with improved ones which included: asset locations, cost centers, work types, work classes, commodity codes, and statuses, etc…
The Result
By the time we were ready to migrate to eMaint, our data was clean, organized, and reliable. Rather than carrying decades of outdated information into the new system, we began with accurate data and a consistent coding structure to support our operations going forward. Joe’s work ensured that our transition to eMaint started on solid footing.
